# What Is OneDrive Personal Vault?

November 1, 2026 7 min read

Personal Vault is a locked folder inside OneDrive for your most sensitive files. Here is how it works, who can use it, and why it is not a business security plan.

## Short answer

OneDrive Personal Vault is a protected folder inside OneDrive for storing your most sensitive files and photos. To open it, you must pass an extra identity check, such as a fingerprint, face, PIN or a one-time code. It locks itself after a period of inactivity. It is only available for personal Microsoft accounts, not work or school accounts.

## How Personal Vault works

Think of Personal Vault as a locked room inside your OneDrive. The rest of OneDrive opens with your normal sign-in. The vault needs a second step every time.

Identity verification. Microsoft says you set up Personal Vault with a strong authentication method or a second step of identity verification. Options include your fingerprint, face, a PIN, a code from the Microsoft Authenticator app, or a code sent by email or SMS ([Microsoft: Protect your OneDrive files in Personal Vault](https://support.microsoft.com/en-us/office/protect-your-onedrive-files-in-personal-vault-6540ef37-e9bf-4121-a773-56f98dce78c4)).

Auto-lock. The vault locks itself when you stop using it. On the web, it locks after 20 minutes of inactivity. On a mobile device, it locks after 3 minutes, and you can change that in the app settings. On a Windows PC, you can choose the lock wait time in OneDrive settings under the Account tab ([Microsoft: How to access OneDrive settings](https://support.microsoft.com/en-us/onedrive/how-to-access-onedrive-settings)).

Extra protections. Microsoft lists these benefits on top of two-step verification for your account:

- Files in Personal Vault are encrypted using BitLocker when in use locally on a Windows 10 PC.
- Files are not stored unprotected or cached on your PC, device or browser.
- Sharing is blocked. You must move a file out of the vault to share it.
- It locks automatically after a set number of minutes.

Privacy touches. Personal Vault items do not appear in search results. On a computer, thumbnails are hidden.

### Where it appears on your PC and phone

On a Windows PC, Personal Vault shows up as a shortcut in your OneDrive file list, not in the folder list on the left. That is why many people suddenly notice a "Personal Vault" item sitting in their OneDrive folder. On the mobile app, it appears in the folder list. You can also reach it on onedrive.com.

Microsoft lists these supported platforms:

- Windows 11
- Windows 10 (version 1903 or newer)
- Android 6 or newer
- iOS 11.3 or newer
- A web browser with the latest Microsoft Edge, Chrome or Firefox

You need to set it up separately on each device where you want to use it.

## Who can use it, and limits by plan

Microsoft says Personal Vault is available for personal users with a OneDrive Basic, Personal or Family subscription. On storage, Microsoft says subscribers can now put as many files as they want in Personal Vault, up to their storage limit.

You can put almost any file type in it, subject to normal OneDrive file type limits. Microsoft notes a known issue where old Word.doc files cannot be opened from Personal Vault. Current Word formats are fine.

## Is Personal Vault in OneDrive for work or school?

No. Microsoft says Personal Vault is available only for home and personal plans ([Microsoft: Find lost or missing files in OneDrive](https://support.microsoft.com/en-us/office/find-lost-or-missing-files-in-onedrive-0d929e0d-8682-4295-982b-4bd75a3daa01)). If your business uses Microsoft 365 with OneDrive for work or school, you will not see it there.

That surprises some business owners. Often the Personal Vault they see on a work laptop belongs to a personal Microsoft account that is also signed in to OneDrive on that PC. OneDrive allows both a personal account and a work or school account on one computer, each with its own settings.

## How to set up, open and lock it

### Set it up

- Open OneDrive and select the Personal Vault folder (or select Get started on the first prompt).
- Read the intro and select Next or Continue.
- In Verify your identity, check your account info and select Verify.
- Choose a verification method, such as a text message, and enter the code you receive.

### Open (unlock) it

- Select the Personal Vault folder.
- Verify your identity with your chosen method. The Microsoft Authenticator app can generate a code without internet access.

### Lock it

- Select the Personal Vault folder.
- Select Lock.

Microsoft recommends locking it when you finish, even though it locks on its own.

## Is Personal Vault secure enough for business data?

Personal Vault is a good tool for an individual's passport scan or tax papers. It is not a business security plan. Here is why:

- It only works with personal Microsoft accounts. Your company files should live in your business Microsoft 365 tenant, where your IT team can manage access.
- Files you keep in a personal account are outside your company's control. If an employee leaves, so does their personal vault.
- Microsoft notes that on Windows 10, Personal Vault does not protect file names or hashes when the vault is locked, and file names may appear in Recent lists in Windows apps.

For business data in Microsoft 365, the stronger approach combines:

- Multi-factor authentication (MFA) on every account, ideally with an authenticator app rather than text messages. Read [MFA beyond text messages](https://shawcsit.com/blog/mfa-beyond-text-messages).
- Sensitivity labels and access controls set up in your Microsoft 365 tenant, so sensitive files stay protected wherever they go.
- Real backup. OneDrive syncs files. It is not a separate backup. Microsoft 365 native retention has limits. Read [why Microsoft 365 backup is not optional](https://shawcsit.com/blog/why-microsoft-365-backup-is-not-optional).

## FAQ

### What does Personal Vault mean on OneDrive?

It is a protected folder in OneDrive that needs an extra identity check to open, such as a fingerprint, face, PIN or a one-time code. It locks automatically when you stop using it.

### Why is there a Personal Vault on my computer?

If you sign in to OneDrive on Windows with a personal Microsoft account, Personal Vault appears as a shortcut in your OneDrive file list. It is part of OneDrive for personal accounts, so it shows up even if you never set it up.

### How many files can I store in Personal Vault?

Microsoft says Basic, Personal and Family subscribers can add as many files as they want, up to their storage limit.

### Does Personal Vault back up my files?

No. It is a secure area inside OneDrive, not a separate backup. Deleted vault files only show in the OneDrive recycle bin when the vault is unlocked. On Windows 10, files deleted from the vault on your PC are permanently deleted locally, though you can find them in the onedrive.com recycle bin if they were already uploaded. For business data, use a dedicated Microsoft 365 backup.
